As the International Sales & Operations Coordinator for Q-SYS, you will be the backbone of our sales execution — combining daily sales support, efficient process management, and data-driven insights to drive growth across our smart Queue Management, Customer Experience Feedback, Digital Signage, and Booking Engine solutions. You will ensure seamless client coordination, sales cycle efficiency, accurate reporting, and operational excellence for our projects across multiple markets.
Key Responsibilities
Sales Coordination (Execution & Client Support)
- Coordinate end-to-end sales order cycle for all Q-SYS products — from proposals, pricing, and demos to contract closure — with 100% accuracy.
- Prepare and track client quotations, proposals, and project documentation with zero errors.
- Liaise with clients, channel partners, and internal teams to ensure all deliverables are on track
- Organize sales team meetings, demos, site surveys, and technical handovers.
- Support PoCs (Proof of Concept) and pilots with documentation, TATs, and feedback follow-ups.
Sales Operations (Data, Processes & Reporting)
- Own and update the Q-SYS sales pipeline, dashboards, and CRM with 100% data integrity.
- Track KPIs: conversion rates, lead aging, proposal win rates, sales/installation timelines, and collections.
- Prepare weekly, monthly, and quarterly management reports highlighting revenue progress, pipeline status, and variances.
- Maintain up-to-date dashboards on sales/lead/project statuses — especially for key verticals like healthcare, banking, and government.
- Identify sales process bottlenecks and propose at least 2 improvements per quarter.
- Coordinate with finance on invoices, collections, and payment follow-ups to maintain ontime payments.
Cross-Functional & Client Delivery Support
- Collaborate closely with operations, DevOps, and technical teams to align delivery timelines with client commitments.
- Ensure >90% OTIF (On Time In Full) for project deployments and customizations.
- Proactively flag delays or risks to stakeholders, and coordinate mitigation plans.
- Maintain high client satisfaction by closing feedback loops for installations, escalations, or complaints.

Requirements
- Bachelor’s degree in Business, Sales, IT, or related field.
- 2–4 years’ experience in international sales coordination and/or sales operations — ideally in B2B SaaS, CX solutions, or smart technologies.
- Hands-on experience with CRM (Zoho, Salesforce, or similar), Excel (advanced), and project tracking tools.
- Knowledge of SAAS sales to B2B is a big plus.
- Strong organizational skills with an analytical mindset — can juggle multiple clients, markets, and projects simultaneously.
- Excellent communication skills and cross-cultural awareness.
