Job Summary

The Project Assistant Officer – Component VI (Project Coordinator) will support the planning, coordination, and execution of project activities under Component VI. Reporting to the Project coordinator VI, project management, the role involves assisting in project management tasks, monitoring progress, coordinating with stakeholders and other project coordinators in ensuring timely deliverables, and contributing to effective communication and reporting to ensure successful project implementation.

Duties and Responsibilities

The duties and responsibilities of the selected candidate will entail:

  1. Assist in the implementation, monitoring and evaluation of the EAP-K program activities, in accordance with the work plans and strategies established in the project.
  2. Support the execution of the Component VI workplan, including meeting coordination, documentation, and logistical arrangements.
  3. Track implementation progress across all components and update consolidated dashboards, calendars, and status reports.
  4. Assist with document control filing reports, contracts, meeting minutes, and correspondence systematically for easy retrieval.
  5. Coordinate and take minutes for project coordination meetings, prepare action trackers, and follow up on implementation status.
  6. Liaise with the Project Accountant, HR, Legal, and Procurement Officers to support smooth workflow and resolution of emerging issues.
  7. Prepare briefs, summaries, and update notes for the Component VI Coordinator to inform project-wide decision-making.
  8. Assist in the preparation and submission of monthly operational progress reports to the Component VI Coordinator.
  9. Support the planning and logistics of capacity-building activities, project events, and technical missions.
  10. Track and update the central project implementation schedule and monitor key milestones and risks.
  11. Promote consistency in project tools and templates (workplans, reports, minutes, etc.) across all components.

Academic and Professional Qualifications

  • At least Diploma or a bachelor’s degree in project management, Statistics, Mathematics, Business Administration, Social Sciences, Development Studies, or a related field.
  • At least 3 years of experience supporting project implementation, coordination, or administration, preferably in donor-funded or development projects.
  • Experience with monitoring and evaluation (M&E) processes is an advantage.
  • Familiarity with project management tools, document control, and reporting.
  • Proficiency in Computer applications
  • Fulfil the requirements of Chapter Six (6) of the Constitution

Skills and Competencies

  1. Strong organizational and time-management skills with attention to detail.
  2. Excellent communication skills, both written and verbal.
  3. Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook).
  4. Ability to prepare clear reports, briefs, and meeting minutes.
  5. Competence in coordinating meetings and managing logistics.
  6. Ability to track project progress and update dashboards and calendars.
  7. Strong interpersonal skills to liaise effectively with multiple stakeholders.
  8. Knowledge of project management methodologies and tools.
  9. Ability to work independently and as part of a team.
