Administrative Supervisor

Location: Nairobi

We are seeking an Administrative Supervisor to manage daily office operations. Responsibilities include supervising support staff, overseeing office administration, coordinating events and travel, managing records, and ensuring smooth workflow. The ideal candidate will possess excellence organizational and interpersonal skills to ensure smooth office operations.

Key Responsibilities:

  • Supervise daily headquarters operations and provide administrative support.
  • Oversee timely rent and utility payments and supervise office support staff,
  • Track and update Amazon purchases.
  • Coordinate with shipping companies (Aquantuo & Kentex) to track incoming orders, receive deliveries, verify weights, and determine final goods costing based on weight and price
  • Distribute Amazon goods to respective departments and teams
  • Maintain daily Equity card payments and reconcile them on a weekly and monthly basis.
  • Oversee office repairs and maintenance to ensure smooth operations.
  • Prepare and distribute newborn and birthday cards monthly.
  • Welcome and register visitors, ensuring a friendly and professional experience.
  • Manage internal and external communication, including document printing and correspondence.
  • Process purchase orders (POs) on ERP and follow up on related payments for travel, meals, and accommodation allowances..
  • Plan and coordinate team functions, corporate events and annual celebrations.
  • Manage staff uniform issuance, inventory, and recognition programs.
  • Update the Employee Board of Fame and coordinate award distribution across sites.
  • Arrange travel logistics, including flights and hotel bookings, for staff and guests.
  • Perform additional administrative tasks as assigned

Qualifications & Skills:

  • Bachelor’s degree or diploma in Business Management or a related field.
  • Minimum of 2 years’ experience in office administration.
  • Strong organizational and multitasking abilities, with keen attention to detail.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Excellent communication and interpersonal skills.
  • Experience in managing office operations, including  payments, and maintenance.
  • Ability to coordinate events, travel arrangements, and staff recognition programs.
  • Strong problem-solving skills and ability to work independently.
