Procurement Supervisor – Kenindia Assurance Company Ltd
Reporting to: Human Resource & Administration Manager

Job Purpose

The Procurement Supervisor will lead and oversee the company’s procurement and supply chain activities to ensure efficiency, transparency, and value for money. The role includes evaluating and managing suppliers, negotiating contracts, and implementing procurement strategies that align with organizational objectives while ensuring compliance with internal policies and regulatory requirements.

Principal Accountabilities

A. Strategic Procurement Management

  • Develop, implement, and continuously improve procurement policies, procedures, and frameworks in line with applicable regulations.
  • Lead end-to-end procurement processes ensuring transparency, cost-effectiveness, and value optimization.
  • Drive supplier performance management to ensure reliable delivery, quality, and cost efficiency.
  • Conduct market analysis to identify potential vendors, assess trends, and recommend sourcing strategies.
  • Review and approve purchase requisitions and LPOs for accuracy and compliance.
  • Lead cost-saving initiatives through consolidation, renegotiation, or process improvements.
  • Prepare procurement budgets and forecasts aligned with business goals.

B. Tender and Contract Management

  • Drive the tendering process, including sourcing, bid evaluation, negotiation, and award recommendations.
  • Ensure strict adherence to governance and compliance in tendering and contracting.
  • Negotiate and manage supplier contracts to ensure compliance with terms, performance standards, and service levels.
  • Establish and monitor key supplier performance indicators for continuous improvement.

C. Procurement Governance and Administration

  • Maintain documentation, databases, and filing systems to ensure audit readiness and regulatory compliance.
  • Provide analytical reports on procurement trends, supplier performance, and budget utilization.
  • Supervise and mentor junior procurement staff for professional growth.
  • Oversee asset procurement, tagging, and inventory management, ensuring accurate asset register records.
  • Define and monitor optimal stock levels to support smooth operations and minimize stockouts or wastage.

Knowledge and Experience

Qualifications

  • Bachelor’s degree in Procurement, Supply Chain Management, Logistics, or Contract Management.
  • Professional certification: CIPS, APS-K, CPSP-K, or equivalent.
  • Active membership in a recognized procurement professional body.

Experience

  • Minimum of 8 years’ progressive experience in procurement, supply chain, or contract management.
  • At least 3 years in a supervisory or assistant managerial role.
  • Experience in the insurance or financial services industry is an added advantage.

Skills and Competencies

  • Strong leadership, negotiation, and supplier management skills.
  • Strategic planning and analytical abilities.
  • Ability to manage multiple priorities and meet deadlines.
  • Excellent communication and stakeholder management skills.
  • High level of integrity, professionalism, and ethical conduct.
  • Proficiency in ERP/procurement systems and MS Office applications.
  • Strong problem-solving and decision-making capabilities.
