Position: Finance & Administration Officer

- Reporting To: Chief Executive Officer
Role Summary
The Finance & Administration Officer shall manage the Institution’s financial records, procedures, and general office operations, ensuring compliance and efficiency. The role covers budgeting, accounting, payroll support, procurement, asset management, and logistics (travel and facilities). The position bridges finance, human resources, and operations to ensure smooth daily functioning and strong strategic financial management.
The Officer will be responsible for driving financial and administrative processes and generating reliable, transparent, and timely financial and administrative information required by the (ISK) to effectively manage its resources.
Specific Responsibilities
- Prepare, analyze, and monitor financial reports and monthly cash flow forecasts to support strategic decision-making.
- Assist in budget preparation, forecasting, and monitoring expenditures to ensure cost efficiency.
- Ensure proper financial procedures and systems are operated and maintained in compliance with institutional policies and accounting standards.
- Oversee daily financial operations, including accounts payable and receivable, payroll, and general ledger functions, ensuring timely remittance of statutory deductions.
- Ensure timely and accurate examination of all vouchers for approval and confirm that all payments are within approved work plans and budgets.
- Prepare and maintain an inventory of institutional assets for accounting and insurance purposes.
- Ensure adherence to government laws, donor policies, and internal financial procedures.
- Direct and oversee all aspects of administrative support, including office management and logistics.
- Oversee procurement functions, including purchasing, supplier databases, and inventory records.
- Provide human resource support, including assistance with medical cover and staff welfare priorities.
- Coordinate with internal staff, management, external partners, banks, and financial institutions.
- Maintain physical and electronic filing systems for all records and manage libraries at headquarters, ensuring equitable distribution of materials between headquarters and ISK branch networks.
- Perform any other lawful duties as may be assigned.

Qualifications and Technical Skills
- Bachelor’s degree in Commerce (Accounting), Business Administration (Accounting option), or related field.
- CPA (K) qualification.
- Proficiency in accounting software (e.g., QuickBooks, Sage, SUN Systems, Xero).
- Advanced proficiency in Microsoft Office Suite, including Excel, Word, Access, and PowerPoint.
- Membership to a professional body will be an added advantage.
- Professional training in human resource and administration will be an added advantage.
- At least eight (8) years’ experience in accounting and finance, preferably within non-profit organizations or membership associations.
