Job description

The HR Personnel will support the implementation of HR policies and procedures within the factory. The role is responsible for managing recruitment, employee relations, statutory compliance, health & safety coordination, and time & attendance for factory employees. The position ensures alignment with Kenyan labour laws, factory operations, and workforce welfare.

Key Responsibilities

  • Recruitment & Onboarding
  • Assist in recruitment of factory staff (casuals, artisans, technicians, operators).
  • Coordinate pre-employment documentation and background checks.
  • Facilitate orientation and induction programs for new employees.
  • HR Administration
  • Maintain and update personnel files (both digital and hard copies).
  • Manage timekeeping and attendance tracking using biometric or manual systems.
  • Prepare HR reports (headcount, absenteeism, turnover, etc.).
  • Labour Relations & Compliance
  • Ensure compliance with Kenyan Employment Act, Labour Institutions Act, OSHA, and NSSF/SHIF
  • regulations.
  • Represent HR in routine labour inspections and audits.
  • Maintain statutory documents (e.g. Form Ns, muster rolls, workplace notices).
  • Liaise with labour officers and authorities as needed.
  • Payroll Support
  • Collate time and attendance data for payroll processing.
  • Track overtime, shift allowances, and leave balances.
  • Support payroll officer with salary disbursement queries.
  • Employee Relations & Welfare
  • Address grievances, disciplinary matters, and conflict resolution.
  • Assist in organizing welfare activities and employee engagement forums.
  • Promote positive working relations with trade unions (if applicable).
  • Health, Safety & Environment
  • Collaborate with EHS team to promote a safe work environment.
  • Coordinate HSE training and PPE issuance.
  • Report workplace incidents and near misses as per company policy.
  • Training & Development
  • Support training needs assessments for factory staff.
  • Coordinate internal/external training logistics.
  • Track completion of mandatory trainings (e.g. fire drills, first aid).

Requirements & Qualifications

  • Bachelor’s degree or Higher Diploma in Human Resource Management, Business Administration, or a related field.
  • Member of IHRM (Institute of Human Resource Management) – mandatory in Kenya.
  • 4-6 years of experience in a factory/manufacturing HR role.
  • Knowledge of Kenyan Labour Laws and statutory HR compliance.
  • Proficiency in MS Office and HR software systems.
  • Strong interpersonal and conflict resolution skills.
