At DHL Supply Chain East Africa, we’re looking for a Payroll Manager – E.A.

Role Outline

To ensure that the Payroll Management and Administration functions are performed efficiently and effectively for the whole of East Africa (Kenya, Uganda &Tanzania) by ensuring that all payroll activities are completed accurately, correctly, and on time, adhering to legislation and company policies, and maintaining confidentiality. Offering service and support to Management and staff in these areas. To maximize performance by providing leadership to the payroll department and the HR department. Strict adherence that employees are paid on time.

Key Responsibilities

  • Supply Chain Strategy & Optimization
  • Accurate and timely preparation of the E.A monthly payroll and statutory.
  • Manage payment of all deductions to be disbursed accurately and timeously.
  • Accurate and timely computations of all staff final dues/redundancy costs and any other exit package.
  • Manage and communicate with stakeholders in case of payroll hitches and challenges.
  • Ensure payroll data is accurate and in line with supporting data/documents.
  • Monthly headcount statistics reporting on Crest or any other system.
  • Timely monthly upload of payroll journals for the general ledger in the system.
  • Month-to-month (ytd) payroll cost analysis and variance reports.
  • Overtime cost reduction – Monthly cost analysis/ expenses tracking.
  • Responsible for the overall management of the payroll system /Process and ensuring payroll compliance adherence.
  • Query resolution on all payroll issues across all sites in E.A.
  • Upload of payroll into the relevant banking systems by the 25th of every month.
  • Development and review of Payroll SOP in consultation with other stakeholders.
  • Filling of monthly/annual returns by due dates: Paye/NSSF/SHIF/NHIF/Pension/P9’s/DIT etc.
  • Timely upload of monthly Payroll Journals for General Ledger – Oracle system.
  • Any payroll data & compensation analysis, and population.
  • Bonus/Merit/ 13th cheques and CBA data preparations and validation before submission.
  • Process payroll for other DHL divisions in line with the SLAs.
  • Performance Management: Coordination, tracking, and ensuring that all manual mid & annual year reviews are done and submitted to HR.
  • Leave liability management: Monthly & annual leave reports / leave days liability computation analysis, and recommendations for reduction/checks and balances.
  • Support Audits & payroll tax queries.
  • Preparation of HR business reports, e.g., QBR, etc.
  • Functional Experience
  • Masterly in payroll requirements and processing.
  • Good interpersonal skills are required, supplemented by high energy levels, flexibility, and a commonsense approach.
  • Sound interpersonal skills with the ability to express an opposing view effectively and diplomatically.
  • High degree of integrity and confidentiality.
  • Knowledge of data management/analysis vis-à-vis payroll parameters.
  • Ability to remain current in thinking through appropriate reading and networking.

Qualifications & Experience

  • Bachelor’s degree preferably in Finance, Accounting with CPA-K/ ACCA certification.
  • Minimum of 7-10 years of experience in payroll processes.
  • Fair knowledge of the payroll & labour landscape of Kenya, Uganda & Tanzania.
  • Specialist knowledge of Payroll systems and legal requirements.
  • Computer literacy and proficiency in spreadsheets & PowerPoint.
  • Basic understanding of Supply chain business to support a business partnership.
  • Geographical experience of Kenya and East Africa’s scope.
  • Strong analytical and problem-solving skills, with the ability to drive continuous improvement.
