JOB PURPOSE

The job holder will be responsible for handling procurement functions by offering administrative and technical support to the existing procurement team. The position will mainly involve the management of suppliers, internal users and routine procurement activities.

MAIN ACTIVITIES

Requisitioning and Internal Customer Management

  • Receiving and responding to all enquiries from internal customers on all purchase requisitions and other services offered by the procurement function 
  • Collecting, analyzing and reporting on customer feedback on procurement services and suggestions there to.

Procurement Process

  • Sourcing for quotations from pre-qualified vendors
  • Negotiating with Suppliers to enable the Bank get best value of goods
  • Preparing Local Purchase Orders and dispatching the same to both the suppliers and user departments
  • Ensure efficiency in the end-to-end procurement processs
  • Any other duty as may be assigned by the Procurement Manager

Policy Implementation and Enforcing Compliance

  • Implementing internal controls and procedures designed to ensure strict compliance with the procurement guidelines and policies

Record Management 

  • Maintaining the filing system and keeping safe custody of all the procurement related records.

Supplier Management

  • Sourcing, negotiating with suppliers and coordinating the routine day to day procurement activities.
  • Tracking and expediting orders to ensure timely delivery and conformance to defined specifications.
  • Monitoring, evaluating and reporting on the performance of suppliers and service providers

  • Communicate effectively communicate clearly, actively listen to others, and respond with understanding and respect.
  • Commit to Customer Service: provide, customer-focused services in line with banking sector and organizational objectives – adherence to the bank customer service charter and ensure personal accountability so as to meet the laid down Service Level Agreements (SLA) and work within stipulated Turn Around Time (TAT).
  • Work Collaboratively Collaborate with others and value their contribution.
  • Deliver Results Achieve results through the efficient use of resources and a commitment to quality outcomes;
  • Think and solve problems, analyze and consider the broader context to develop practical.
  • Keeping abreast with staff communications, attending staff meetings – morning huddles and weekly progress meetings.
  • Responsible for own career within the bank and preparing an annual Personal Development Plan (PDP) and ensuring its actualization.
  • Adherence to the banks policies and procedures, dress code, code of conduct, HR policies and procedures and follows laid down grievance and disciplinary procedure to ensure a conducive work environment.
  • Closure of identified deficiencies from concluded audits, correction within stipulated timelines, and ensure no repeat findings.
  • Live the brand values as a Sidian Bank brand ambassador and always project the right image of the bank to both staff and customers.

DECISION MAKING AUTHORITY

  • Has a delegated authority by Manager procurement

ACADEMIC BACKGROUND

  • Bachelor’s degree in Procurement, Supply Chain Management, Business Administration, or a related field
  • Certification in CIPS or Diploma in Procurement will be an added advantage

WORK EXPERIENCE

  • At least two years relevant experience in procurement or supply chain management

  • Good negotiation and supplier management skills
  • Knowledge of procurement regulations and procedures
  • A team player
  • Good interpersonal skill
  • Good oral and written communication skills
  • Attention to detail
  • Be able to assimilate and articulate Bank policies
  • Have a thorough understanding of bank’s operation s / ADC procedures
  • Be able to establish own work schedule and work under minimum supervision
  • Knowledge of Bank’s organizational structures and operational procedures
  • Good analytical skills

  • Certified member of procurement & supply professional
