Job Description
ABOUT THE ROLE
MSI Reproductive Choices Kenya is an NGO registered in Kenya as a local implementing partner of MSI Reproductive Choices, a UK charity. We deliver quality sexual and reproductive healthcare, family planning and other women’s health services to millions of the world’s poorest and most vulnerable women. We want to make sure that women have a choice when it comes to having children and that death by unsafe abortion is reduced.
We seek to recruit a Logistics and Security Assistant who will be responsible for providing efficient logistical, transport, and security support to ensure smooth operational delivery across MSIK programmes. The role supports fleet management, office and field logistics, inventory control, and the implementation of security protocols. The position also includes driving duties to facilitate safe and timely movement while ensuring full compliance with MSIK policies, donor regulations, and national laws
Key Responsibilities
Logistics Support
- Coordinate transport, travel, and logistics support for programme and support teams.
- Maintain accurate logistics, fuel, transport, and asset records.
- Monitor office facilities and coordinate maintenance and repairs.
- Ensure Support Office and centres comply with OSHA and workplace safety requirements.
- Support inventory management and business continuity activities.
Security Management
- Support implementation of MSIK security policies, procedures, and staff safety measures.
- Monitor staff movements, provide security updates, and ensure compliance with travel safety requirements.
- Maintain emergency contact lists, the internal security communication tree, incident records, and movement tracking systems.
- Coordinate security awareness, inductions, emergency preparedness activities, and regular testing of response procedures.
- Ensure emergency and safety equipment are available, functional, and regularly inspected.
- Monitor security risks and coordinate preparedness measures during elections, political events, and other high-risk situations.
- Liaise with relevant stakeholders on security matters and support incident reporting, investigations, and risk mitigation.
- Prepare and submit regular security reports, risk assessments, and security trend updates to management.
Fleet and Transport Management
- Drive MSIK vehicles responsibly, ensuring safety of passengers, cargo, and vehicle at all times.
- Conduct routine vehicle checks, cleanliness, and ensure preventive maintenance schedules are adhered to.
- Maintain accurate mileage, fuel, and movement logs as per MSIK fleet policy.
- Report mechanical problems immediately and follow up with approved garages for repairs.
- Ensure proper loading, securing, and delivery of program materials and equipment.
- Support airport pickups, drop-offs, and field travel as required.
- Monitor vehicle systems and performance, ensuring timely diagnosis, reporting, and follow-up on any irregularities.
- Manage the corporate “Little Taxi” transport services, ensuring availability, proper scheduling, and compliance with organizational policies.
- Serve as the organization’s designated focal person for all matters related to driving and vehicle operations.
- Ensure all vehicles have valid insurance, up-to-date registrations, and are serviced in line with manufacturer and MSIK requirements.
Compliance and Risk Management
- Ensure adherence to MSIK operational, security, procurement, and fleet policies.
- Support auditing of assets, stores, and transport records.
- Report any risks, incidents, or policy breaches in a timely manner.
- Ensure appropriate documentation for all logistical transactions
Emergency Preparedness
- Maintain and update emergency response plans, evacuation procedures, and assembly point information.
- Coordinate emergency drills and staff awareness activities.
- Ensure staff understand emergency reporting and response procedures.
- Support crisis management and post-incident reviews to strengthen organizational preparedness.
REQUIREMENTS
Qualifications and Experiences
- Diploma in Logistics, Supply Chain, Operations Management, Security Management, or related field.
- Valid driver’s license (Class BCE or equivalent) with a clean driving record.
- At least 3 years’ experience in logistics, security, or operations support, preferably within an NGO or health sector.
- Ability to drive long distances and support fieldwork in remote locations.
- Knowledge of Kenyan road laws, basic vehicle mechanics, and defensive driving.
- Training in security, first aid, or safety procedures is an added advantage.
