Job Description

Are you an experienced and detail-oriented HR professional with strong expertise in payroll, HR master data, and analytics?

We are seeking an HR Operations – Payroll & Compensation professional to join our team at Victory Farms Kenya. You will oversee end-to-end payroll processes, ensure the accuracy and integrity of HR master data, and leverage HR analytics and Business Intelligence (BI) to provide actionable insights for strategic decision-making.

This is a hands-on role for someone who is organized, analytical, and committed to accuracy, confidentiality, and compliance. Your expertise will be essential in ensuring efficient payroll operations, reliable HR data, and data-driven decision-making across the organization.

Key Responsibilities

  • Oversee full-cycle payroll processing for both full-time and casual employees, ensuring accuracy and timeliness.
  • Maintain and continuously update HR master data, guaranteeing its completeness, accuracy, and alignment with company policies.
  • Drive the consistent adoption and effective use of HR tools and systems across all employee lifecycle stages.
  • Analyze payroll data and trends, providing insightful reports and variance explanations to HR Business Partners, Line Managers, and Executive Committee.
  • Support contract management activities including renewals, tracking deadlines, and maintaining thorough documentation.
  • Maintain and safeguard comprehensive employee files, both physical and digital, ensuring data privacy and accessibility.
  • Prepare, consolidate, and distribute monthly HR reports and analytics to enable informed decision-making.
  • Coordinate HR-related projects, ensuring seamless communication and timely updates for all payroll changes.
  • Facilitate statutory compliance processes, audits, and reporting requirements to meet legal and organizational standards.
  • Manage employee separation procedures efficiently, ensuring all relevant payroll documentation is submitted promptly.
  • Verify statutory and payroll deduction details to maintain compliance and payroll accuracy.
  • Draft critical payroll-related documentation such as deduction letters and salary review communications.
  • Provide detailed records of employee attendance, bonuses, and personal leave to support payroll preparation.
  • Administer employee benefits programs, including insurance policies, to ensure seamless delivery and enrollment.

Qualifications and Requirements

  • Bachelor’s degree in HR Management, Business Administration, or related field.
  • At least 3+ years of relevant experience in HR operations, payroll, master data management, or related areas (manufacturing or agribusiness is an added advantage).
  • Strong understanding of Kenyan labour laws and statutory deductions.
  • High attention to detail and confidentiality.
  • Proficiency in HR systems (ERPNext experience is a plus).
  • Excellent communication and data analytical tools.
