Role Purpose Statement

Under the general direction and guidance of the Procurement & Process Improvement Manager, the Procurement Officer is tasked with managing the procurement of commercial goods and services. This role is essential in ensuring that procurement processes are efficient, cost-effective, and compliant with company policies to support operational needs, while actively assisting in process optimization and workflow improvements.

Key Accountabilities/Responsibilities

  • Administer procurement and supply chain activities in accordance with Jambojet’s Procure-to-Pay policy to effectively meet organizational needs and strategic objectives.
  • Manage all procurement activities, including sourcing, supplier and contract management, and transactional activities, ensuring strict compliance with company policies.
  • Conduct comprehensive procurement and contracting activities, covering pre-qualification, tender management, negotiation, and contract preparation.
  • Monitor and maintain key supplier agreements, tracking key performance indicators such as procurement cycle times and supplier SLA compliance.
  • Identify bottlenecks in the Procure-to-Pay workflow and collaborate with the Procurement & Process Improvement Manager to deploy lean procurement practices and digital automation.
  • Evaluate and report on supplier quotations and participate in the development and assessment of tender documents.
  • Ensure all contracts are comprehensive and protective of Jambojet’s interests, aligning with company policies and legal standards to mitigate risks.
  • Develop and implement reporting and monitoring mechanisms to identify and track cost savings and procurement efficiency.
  • Engage proactively with suppliers to negotiate pricing, delivery terms, and contractual conditions.
  • Foster strong relationships with internal stakeholders, providing support and training on procurement systems and processes.
  • Ensure the availability of adequate supply contracts for regularly used items to achieve maximum cost-effectiveness.
  • Maintain comprehensive and traceable records of all procurement activities, including correspondence and documentation.

  • Specialized Knowledge: Familiarity with procurement systems (like Oracle IProc), corporate contract management, and relevant supply chain regulations.

Qualifications

  • Education: Bachelor’s degree in Procurement/Purchasing and Supply Chain Management or a related field from a recognized university.
  • Experience: At least 3 years’ experience in procurement and administration in a fast-paced organization.
  • Certifications: Relevant industry certifications. Membership to professional bodies is an added advantage.
